Terms & Conditions

Legal terms governing your use of BookTransfer.com and our booking services.

Last updated: January 2025

1. Introduction

Who we are: BookTransfer.com ("we", "us", "the Platform").

What this document does: governs use of the website and services.

By using / booking / submitting a form → user agrees to these terms.

If user does not agree → do not use the site.

2. Nature of Our Service (Very Important)

We operate primarily as an online intermediary / booking facilitator / lead generator for airport transfers and related ground transport.

In most cases we do not provide the transport ourselves and we are not the carrier.

The actual transport service is delivered by independent third-party transport providers ("Service Providers").

Your contract for the ride is with the Service Provider, not with BookTransfer.com (except where we explicitly say we operate the ride).

3. Role & Limitations of Responsibility

We collect your trip details and pass them to a suitable provider.

We cannot guarantee vehicle availability, exact vehicle model, driver identity, or exact pickup time — this depends on the provider.

We are not responsible for:

  • providers' licences, permits, insurances, tax obligations, or compliance with local/national regulations.
  • any fines or penalties imposed by governments/airports/taxi regulators on the provider.

Where local law requires additional permits (airport access, chauffeur licence, transport authority licence, special insurance) → the provider is solely responsible for having them.

4. Provider Licences, Insurance & Vetting

We aim to work with reputable and locally compliant providers.

We reserve the right to say: "All our partners are expected to hold valid local licences and insurance appropriate to their service."

However: we do not audit every driver every day and we do not guarantee the accuracy, validity, or current status of a provider's licences, permits, or insurance.

User accepts that responsibility for legal compliance sits with the provider.

If a government authority requires proof → it must be obtained from the provider.

5. User/Passenger Responsibilities

Provide correct flight, time, passenger, luggage, and contact details.

Be reachable on the phone/WhatsApp at pickup time.

Comply with local laws (seatbelts, child seats, customs, border rules).

If special requirements (child seat, wheelchair, extra luggage) → must be stated in advance; otherwise provider may refuse service without refund.

You must not use the service for illegal transport or to circumvent airport/taxi regulations.

6. Bookings & Contract Formation

A booking is considered "requested" when user submits the form / payment.

A booking is considered "confirmed" when we or the provider send confirmation.

We reserve the right to reject or cancel a booking if no provider is available or if details are incomplete.

If we cancel due to non-availability → refund/credit as per Refund Policy.

7. Pricing, Payments & Currency

Prices shown are based on information from providers, airports, or our own calculations.

We may charge a service/booking/processing fee.

Local charges (parking, tolls, waiting above included time) may be payable directly to the driver/provider.

Currency conversions and bank fees are on the customer.

8. Cancellations & Refunds

This section links to / incorporates your "Refund & Cancellation Policy".

If the provider's policy is stricter than ours → the stricter one applies.

No-shows, late cancellations, wrong details → no refund.

9. Delays, Force Majeure & Government Actions

We are not liable for delays/cancellations caused by: traffic, weather, accidents, strikes, airport security, border checks, immigration, police controls, or actions by government/airport/taxi authorities.

If a provider is stopped/fined/refused entry due to local regulation → this is between the provider and the authority.

In such cases, our obligation is limited to attempting to rebook or issuing a credit if possible.

10. Liability Limitation

To the maximum extent permitted by law:

  • We are not liable for indirect, incidental, or consequential damages (missed flights, hotel nights, business meetings).
  • Our total liability for any claim related to a booking is capped at the amount you paid for that booking.
  • We are not liable for loss, damage, or theft of luggage or personal items inside the vehicle — that's between you and the provider.
  • You agree not to bring claims against individual BookTransfer.com staff, founders, contractors.

11. Third-Party Providers & Marketplaces

We may show or pass your request to multiple local partners.

Each of them operates under their own licences and T&Cs.

We are not a transport company, not a taxi, not a limo service under local law unless explicitly stated for a specific route.

12. Misuse, Fraud & Wrongful Bookings

We can refuse service, cancel bookings, or block users if we detect fraud, chargebacks, duplicate or speculative bookings.

We can share data with providers for anti-fraud and operational reasons.

13. Content, Branding & "Vetted" Language

We may state on the website things like "vetted drivers", "trusted partners", "locally licensed", "professional cars".

These are commercial descriptions of how we aim to run the platform — they are not a legal guarantee that every driver in every country at every moment holds every possible licence.

If a user needs a specific document (airport permit, commercial insurance certificate, EU transport licence, VAT invoice) → they must request it from the provider.

14. Data & Privacy

We collect trip and contact details to send them to the transport provider.

By booking you consent to us sharing your data with providers, payment processors, and anti-fraud tools.

Link to separate Privacy Policy.

15. Intellectual Property & Acceptable Use

Site content, brand, and booking engine belong to BookTransfer.com.

No scraping, cloning, reselling, or using our site to build a competitor.

16. Governing Law & Disputes

Subject to Dutch courts and law. Based in the Netherlands.

Disputes first via customer support, then via simple arbitration / local court.

Claims must be brought individually, not as a class action.

17. Changes to These Terms

We may update these Terms at any time.

Continued use = acceptance of updated Terms.
